1. Acceptance of terms
These Terms & Conditions govern use of the CapitalHope Facilitation Management System ("the System") by any person granted an Admin, Worker, or Vendor account. By logging in, you accept these terms on behalf of yourself and, where applicable, the organisation you represent.
2. Who can use this System
The System is not open to the public. Access is by invitation only, issued by an Admin, and falls into one of three roles:

Using an account outside your assigned role — for example, a Worker attempting to approve their own submission — is not permitted and may be blocked automatically by the System's role checks.
3. Account & OTP responsibility
- You are responsible for keeping your password and OTP codes confidential and for all activity carried out under your account.
- OTP codes are single-use, expire within minutes, and must never be shared with another person, including another CapitalHope user.
- If you suspect unauthorised access to your account, you must notify your Admin immediately so the account can be secured.
- An Admin may deactivate any account where these terms are believed to have been breached.
4. Accuracy of records
Claim details, loan amounts, TDS percentages, and paid amounts entered into the System form the basis of the payout calculations and the audit trail. Users entering or approving this data are responsible for its accuracy at the point of entry or approval. Bulk imports through Book3.xlsx are subject to the same standard — the person uploading a file is responsible for reviewing the import summary and correcting any flagged errors before relying on the imported records.
5. No payment processing
A payout marked "Approved" in the System confirms that the internal approval workflow has been completed — it is not a payment instruction and does not itself move funds.
6. Acceptable use
When using the System, you agree not to:
- Attempt to access data outside your assigned role, including by probing API responses directly.
- Share login credentials, OTPs, or session access with anyone else.
- Upload files, including Book3.xlsx imports, that you know to contain false or manipulated figures.
- Use the System for any purpose other than legitimate claims, payout, and vendor management activity for the organisation that granted your access.
- Attempt to circumvent OTP verification, rate limiting, or any other security control.
7. Confidentiality
Claim details, payout figures, vendor bank information, and any DigiLocker-verified identity data accessed through the System are confidential. Workers and Vendors may only use this information for the purpose of fulfilling their role and must not copy, export, or disclose it beyond what the System's own reporting features permit.
8. Ownership
The System, its design, workflows, and underlying software belong to the organisation operating CapitalHope FMS. Claim and vendor data entered by users remains the property of the operating organisation and its vendors, as applicable, and is not owned by any individual user account.
9. Liability
The System is provided as an internal operational tool. While reasonable care is taken to keep payout calculations accurate and access controls effective, the operating organisation is not liable for losses arising from incorrect data entered by a user, delays in the DigiLocker or SMS provider's own services, or use of the System outside its intended purpose. Nothing in this section limits liability where it cannot lawfully be limited.
10. Suspension & termination
Access may be suspended or terminated by an Admin at any time, including where a user leaves the organisation, a vendor relationship ends, or these terms are breached. Historical claim and payout records associated with a deactivated account are retained for audit purposes as described in the Privacy Policy.
11. Governing law & disputes
These terms are governed by the laws of India. Any dispute arising from use of the System should first be raised internally with an Admin or the grievance contact named in the Privacy Policy, before pursuing any other course of action.
12. Changes to these terms
These terms may be updated as the System evolves. The effective date at the top of this page reflects the latest version, and continued use of the System after an update constitutes acceptance of the revised terms.
